Quotes and purchase orders
Council will:
- Seek quotes from suppliers (including from an established supplier arrangement) for contracts with a value lower than $250,000.
- Release public tenders for contracts with a value of $250,000 or more, or
- Establish supplier panel arrangements where similar goods or services are regularly required. Supplier arrangements are established by way of public tender.
VendorPanel
Council uses VendorPanel to seek quotations from suppliers for less than $250,000. This includes a range of supplier relationships - from formally selected panels to pre-qualified supplier lists and informal contractor groupings by category of work. VendorPanel gives suppliers an easy and consistent way to hear about quote opportunities from Council.
VendorPanel is free for suppliers and is an open marketplace where suppliers administer their own accounts and can update business details as they change.

There are two types of supplier categories:
- Ku-ring-gai panel.
- Marketplace.
Ku-ring-gai Panel
Ku-ring-gai non-tendered panel suppliers must have compliance documentation (such as insurance policies) to prequalify for quote requests.

Professional services
Professional services including consulting advice across a range of services. Current Council panels for professional services are consolidated into one professional services panel where organisations can self-register and also have the option to indicate which categories of work relate to their business specialisations or coverage for work issued for quotations below the $250,000 tender threshold.
Events and related services
Cleaning services, education programs, event catering, event operations, event traffic management, lighting and sound production, marketing and promotions, medieval feast and food performance services, staging, stall hire, ticketing/box office services.
Minor & Civil Works Services
Hydraulic, metal fabrication, minor concrete works, water pipe maintenance, sports court refurbishment, water pump sales and service.
Fleet, automotive services, workshop supplies
Fleet new operational vehicles, fleet new passenger vehicles, batteries, electrical repairs, mechanical repairs, panel beaters, spare parts and accessories, tyres, windscreen, workshop supplies.
Trade services
Air conditioning and refrigeration, electrical, fencing, fire extinguisher testing, glaziers, landscaping, liquid waste removal, painting, plant hire, plumbing, surveying, temporary fencing, turf supply, weed spraying.
If the goods/services you supply are not covered by the self-invitation supplier lists above, register on Marketplace.
Marketplace
Marketplace has no prequalification requirements and is used only for goods and services that do not have an established panel or supplier list. Registering with the VendorPanel Marketplace makes suppliers visible to all NSW Councils using VendorPanel.

Purchase orders
Purchase orders are legally binding requests to suppliers to provide goods or services. Contractors and suppliers should not supply any goods or services without first receiving a purchase order, which must comply with purchase order terms and conditions.
Suppliers must include the purchase order number on all invoices issued to Council to avoid delays with processing of their accounts when received. Council also has standard terms of 30 days from date of tax invoice.
Compliance & Work Health & Safety
Conserve WHS Inductions are carried out by suppliers before works start. All contractors performing works on Council property must be registered with the Ku-ring-gai Conserve™ and perform an online WHS Induction prior to carrying out work for Council.
