Terms and conditions Wildflower Garden programs

Your participation in ranger-led activities at the Wildflower Garden is subject to a number of terms and conditions detailed here. Please contact us if you have any queries.

Booking fees and cancellations

  • Fees are payable upon booking and only refundable if the program is cancelled by the Wildflower Garden. For full-term programs, any refund will be pro-rated according to the number of sessions cancelled.
  • Bookings for School Holiday activities are accepted on a "first come, first serve" basis and spaces are limited.
  • Ku-ring-gai Wildflower Garden reserves the right to cancel any program and in such cases will notify participants directly, prior to the activity.
  • Booking cancellations must be made in writing to kwg@krg.nsw.gov.au prior to the program commencing. No credit or refund will be available for no-shows or participants who are required to leave a program early for any reason.
  • Cancellations outside 48 hours of the booking commencement time will incur a 25% cancellation fee + $11 administration fee, the remaining balance will be refunded. Cancellations within 48 hours of the booking commencement time will incur 100% cancellation fee.
  • Change of date outside of the 48 hour period, will incur an $11 administration fee. Program date changes are not permitted within 48 hours of the program commencement time.
  • In the case of a participant’s illness which prevents them attending on the day, a medical certificate will be required. An $11 administration fee will be charged and all other monies will be refunded, provided that the Wildflower Garden is notified in writing by email prior to the activity commencing.

Weather policy

  • Programs will proceed in poor weather. In the event of extreme weather conditions, staff will notify participants if a program is cancelled or postponed.
  • It is the participant’s responsibility to bring adequate weather protection to the activity, which may include hats, sunscreen, jumpers or raincoats depending on the conditions. Participants without adequate weather protection may not be able to participate in all aspects of the activities for safety reasons.
  • Program content and/or activities are subject to change without notice. This may occur due to weather considerations or in other circumstances.

Participant safety

  • All Wildflower Garden activity staff are trained in providing first aid and have Working with Children Checks.
  • Participants must follow safety guidelines and instructions given by any Ku-ring-gai Wildflower Garden staff member. Participants failing to follow safety guidelines may be removed from the program.
  • Participants must wear closed shoes and bring weather protection as described above.
  • All children attending must be within the age range for the activity. This excludes babies in arms who may attend free of charge with their parent or carer. Some programs require adult supervision. Where this is required, it will be noted in the activity description. One adult can supervise a maximum of three children (including babies in arms).
  • Children attending without adult supervision must be signed in and out by a parent or guardian. If a non-parent or guardian of the child is picking up, we require written confirmation of this from the parent who has booked the ticket.
  • Children must be collected promptly at the program conclusion time.

Risk and indemnity

  • All Wildflower Garden activity programs involve an inherent level of risk associated with the outdoor environment. Risk is viewed as an essential and beneficial element of these programs.
  • Activities led by Wildflower Garden staff have been risk assessed.
  • Participants attending activities agree to indemnify Ku-ring-gai Council against responsibility for any accident, loss or injury that occurs during participation in any Wildflower Garden Program.
  • Should at any time the Council staff or program providers consider that a participant requires medical or hospital treatment, they consent to Council staff obtaining the same at their expense.
  • By enrolling themselves and/or their child, participants expressly release Ku-ring-gai Council, its employees or officers from any claim or liability arising directly from partaking in the Wildflower Garden Program.

Media release

  • Ku-ring-gai Wildflower Garden staff may on occasion take recordings of participants during activities (including photographs, videos and voice recordings). If you DO NOT wish for the participant’s recording to be used according to these conditions, please indicate this during the booking process.
  • Participants or their legal guardians grant Ku-ring-gai Council the right to record the name, image, likeness, voice and performance of the participant, and transfer to Ku-ring-gai Council and its filmmaker/photographer all rights, title, and interest for the purposes of this program. The material recorded may be used in any way that they see fit. Ku-ring-gai Council is not in any way required to use any of the material.
  • This includes, without limitation, the literary rights and copyright of the participant’s picture, photograph, silhouette, other reproductions of their physical likeness and voice collected in connection with this program, for unlimited distribution, advertising, promotion, exhibition, and use worldwide and in perpetuity and on whatever media is known or hereafter devised.
  • Ku-ring-gai Council and the producer in return agrees to retain the integrity of the subject’s image and voice.
  • Participants voluntarily agree to their involvement and understand that they will not be compensated in any way for the recording and/or use of their image, likeness, voice etc.

Children’s program mobile phone policy

  • Our venue facilitates the connection of children with nature and with each other. We seek to encourage the development of strong social skills, independent thinking, problem solving abilities as well as the ability to be present and to foster an interest in the natural world. In order to encourage this we have a policy covering the use of personal electronic devices during our programs.
  • If children arrive with smart phones or sim card based watches, they are to be given to the lead ranger on the program and will be stored in a secure locker, to be retrieved at the end of the day. If contact needs to be made with the lead ranger or child throughout the day, our rangers are equipped with a mobile phone for contact purposes. This number can be requested at check in.
  • We ask that no other electronic devices ie. tablets, gaming systems be brought to the program.
  • This policy is based on improving learning outcomes, privacy protection, reduction of bullying issues and protecting property from being lost or stolen.

Children’s program late pickup policy

  • Each program has an advertised finish time. Failure to collect your child within 10 minutes of the program finish time will result in a $20 late pickup fee. The rangers will attempt to contact the parent or guardian using the information provided during booking. The late pickup fee will increase by $20 per additional 10 minute increments from the scheduled finish time and will be charged via Eftpos at the time of collection.
  • We recognise rare exceptions and emergencies may cause parents to be unexpectedly delayed and these will be assessed by management on a case-by-case basis.
